Terms and Conditions for individual bookings

General terms and conditions

All bookings are made with Up in the Arctic AS (org. nr. 932 534 797) , the company which owns the brand Visit Bardufoss. Up in the Arctic AS offers activities and accommodation in the Artic region. Up in the Arctic AS and Visit Bardufoss will hereafter be referred to as we.

Individual bookings are booking for up to 5 persons. If the booking is made for 6 persons or more, it is defined as a group booking, and other terms and conditions apply. Please read terms and conditions for group bookings below.

Hereafter, visits limited to daytime will be referred to as activities, whilst visits including accommodation will be referred to as stays.

All information we provide about our activities and accommodation on booking platforms and our websites are, to our knowledge and belief, correct at the time of publishing. We will provide additional information if changes occur which are fundamental for your contract or may affect your pleasure of your visit.

Booking of activities

For booking of activities, we ask for full payment at the time of booking.
For longer stays we ask for full payment 14 days prior to the first night of your stay.
If we have not received your payment or confirmation of payment when the payment is due, the booking will be cancelled.

Cancellations

If you wish to cancel your booking of activities or stay, you must send us an e-mail as soon as possible. We give refunds on the following conditions:

  • Cancellations made earlier than 14 days prior to the activity starts will be refunded in total.
  • Cancellations made between 14 and 7 days prior to the activity starts will be refunded by 50% of the total amount.
  • Cancellations made later than 7 days prior to the activity starts will not be refunded and the total amount will be invoiced.
  • No-show will be invoiced 100% of total amount.

Change your booking

If you wish to change your booking, we will do our best to help you. However, we can not guarantee that we will be able to accommodate your request. Requests for changing your booking must be sent to our e-mail.

Additional information

Nature activities can never be guaranteed. Even if we can recommend “best timing” for an activity, we can never guarantee that you will experience what you came for, i.e. wild moose and northern lights. Because we work with wild animals and natural phenomena, the rate of success will depend upon Nature. Therefore, we kindly ask you to make room for changes in the original plan for the activity. If we are uncapable of offering a specific activity or stay due to unforeseen natural events, you may be offered a similar activity. Outdoor activities are also dependent on weather and snow. If we must cancel activities or stays due to extreme weather conditions, you may be offered an activity or stay adapted for the conditions. Please note that changes may happen on short notice, even the same day.

Your obligations as our guest

Please remember that the contact information you provide at the time of booking is the only information we can use to contact you. Please make sure that the information you provide is correct.

Please read the booking confirmation carefully and make sure that the dates/times and products/services are booked according to your wishes.

Please follow the rules and instructions given for your accommodation, transfer, activities, and the like. You are responsible for destructions because of you or your company’s careless behavior against our property.

When you are booking activities or stays with us, please provide information about physical disabilities, food allergies or other challenges that are of value to us. Please specify which challenges and need you have prior to arrival.     

Complaints/twists

Deviations which occur during an activity or stay must immediately be reported to our staff. If you do not report complaints or deviations immediately during your stay or after ended activity, and in this way prevent us to correct the deviations, you can not claim compensation in retrospect. If you are not happy with the given compensation, you must contact us within 14 days of ended activity or stay.

Force majeure

Force majeure refers to uncommon, unforeseen, and unavoidable events outside the organizer’s control, and thus prevents the contract from being completed. These are circumstances which the organizer could not, with reasonable aid, have foreseen and therefore not avoided. This includes, but are not limited to, war, fright of war, rallies, civil obedience or strikes, government measures, terrorist actions, natural or industrial disasters, fires, serious weather conditions, flood, closed airports, technical issues, maintenance issues and unforeseen changes done by the airlines such as changes of time tables, disturbances on IT infrastructure (includes, but not limited to, our own websites). Under these conditions the organizer is exempt from commitments or other consequences.

We reserve the right to change times, rates, payment methods and discount conditions after own wishes. Rates for the coming seasons are always preliminary and may be changed.

Terms and Conditions for group bookings

General terms and conditions

All bookings are made with Up in the Arctic AS (org. nr. 932 534 797) , the company which owns the brand Visit Bardufoss. Up in the Arctic AS offers activities and accommodation in the Artic region. Up in the Arctic AS and Visit Bardufoss will hereafter be referred to as we.

Group bookings are booking for 6 persons or more. If the booking is made for 5 persons or less, it is defined as an individual booking, and other terms and conditions apply. Please read terms and conditions for individual bookings above. 

Hereafter, visits limited to daytime will be referred to as activities, whilst visits including accommodation will be referred to as stays.

All information we provide about our activities and accommodation on booking platforms and our websites are, to our knowledge and belief, correct at the time of publishing. We will provide additional information if changes occur which are fundamental for your contract or may affect your pleasure of your visit.

Booking of activities

If you wish to cancel the activity or stay for parts of the group, following terms and conditions apply:

  • Cancellations for 50% or more of the group must be made in writing earlier than 6 weeks prior to the activity or stay starts
  • Cancellations for 49% or less of the group must be made in writing earlier than 4 weeks prior to the activity or stay starts

Change your booking

If you wish to change your booking, we will do our best to help you. However, we can not guarantee that we will be able to accommodate your request. Requests for changing your booking must be sent to our e-mail.

General terms and conditions

All bookings are made with Up in the Arctic AS (org. nr. 932 534 797) , the company which owns the brand Visit Bardufoss. Up in the Arctic AS offers activities and accommodation in the Artic region. Up in the Arctic AS and Visit Bardufoss will hereafter be referred to as we.

tour operator is defined as a travel company which specializes in package tours. Tour operators book activities and stays on behalf of their clients. Contracts made between Visit Bardufoss and tour operators will be negociated.

All information we provide about our activities and accommodation on booking platforms and our websites are, to our knowledge and belief, correct at the time of publishing. We will provide additional information if changes occur which are fundamental for your contract or may affect your pleasure of your visit.
